Administrative assistant responsibilities include providing administrative support to ensure efficient operation of the office. Admin supports manager and clients through a variety of tasks related to organization and communication. The admin job scope includes communicating via phone and email, ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.

Duties and Responsibilities:

Answer and direct phone calls
 Organize and schedule meetings and appointments
 Maintain contact lists
 Produce and distribute correspondence memos, letters, faxes and forms
 Assist in the preparation of regularly scheduled reports
 Maintain filing system
 Book travel arrangements
 Provide general support to clients
 Research various stocks, mutual funds and other investment products
 Monitor renewal of licenses and professional designations and continuing education course credits
 Bookkeeping for certain family and non-profit accounts


 Proven admin or assistance experience
 Knowledge of office management systems and procedures
 Excellent time management skills and ability to multi-task and prioritize work
 Attention to detail and problem solving skills
 Excellent written and verbal communication skills
 Strong organizational and planning skills
 Proficiency in MS Office (Outlook, Word and Excel), QuickBooks® Accounting programs
 Previous experience in financial planning, securities and/or broker/dealer environments
Additional Skills or Experience:
 Previous accounting or bookkeeping experience a plus
 SmartStation® experience
 Online research experience

Salary:  Commensurate with experience
Office Hours:  8:30 am – 5:00 pm / 30 minute lunch break
